ANNUAL LIBRARY BOARD CALENDAR – revised December 14, 2017

JANUARY

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Quarterly written report on the business plan will be presented to the library board in the director’s report
  • Consider/approve special holiday closings for the year
  • Approve annual CAFÉ membership agreement

FEBRUARY

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Director presentation on progress of prior year’s annual goals
  • Director reviews and revises library long-range plan – Capital Budget Summary Form submitted to city administration
  • Review/approve budget carryover requests
  • Approval of annual business plan including annual goals

MARCH

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Wisconsin Department of Public Instruction Public Library Annual Report reviewed, approved, and forwarded to library system and state
  • Approve and submit Statement of System Effectiveness
  • Nominating committee appointed
  • Appointing authority notified about upcoming expiring board terms and provided with a list of board-recommended appointees

APRIL

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Quarterly written report on the business plan will be presented to the library board in the director’s report
  • Nominating committee meets
  • Appointments of new board members made by the municipality
  • Spring Friends Book Sale
  • National Library Week
  • Approve library system’s Allowable Costs Worksheet
  • City Council adoption of long term financial plan (varies)

MAY

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Nomination of board officers for upcoming year
  • Schedule Finance Committee meeting
  • New board member terms begin
  • Library Director annual review

JUNE

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Director provides draft budget for the coming year
    • Finance Committee meets prior to the June Regular Board Meeting to review and discuss any changes to the draft budget to be presented to the full board
    • Board discusses, revises (if necessary), and approves preliminary recommendations for budget for coming year
    • Budget documents are submitted to City Administration
  • Election of board officers for upcoming year – officers assume their duties at the conclusion of the regular June meeting
  • Orientation of newly appointed board members
    • Review trustee roles and responsibilities

JULY

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Approve Certification of Eligibility for Exemption from County Library Levy (due by the end of September)
  • Review and approve budget revisions if necessary
  • Quarterly written report on the business plan will be presented to the library board in the director’s report

AUGUST

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Wisconsin Trustee Training Week – wistrusteetraining.com

SEPTEMBER

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Planning Committee meets to begin discussion of business plan for upcoming year
  • Friends annual meeting (can also be held in October)
  • Library card sign-up month

OCTOBER

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Quarterly written report on the business plan will be presented to the library board in the director’s report
  • Fall Friends Book Sale
  • Bridges library trustee dinner (varies)

NOVEMBER

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Budget hearing and adoption by City Council
    • Budget revised, if necessary, based on actual funding approved

DECEMBER

  • Monthly board meeting the second Thursday of the month at 7:00 pm
  • Review/approve system membership agreement

 AS NEEDED

  • Committee meetings – Art, Fundraising, Operations
  • Library policies reviewed and revised
  • Trustee continuing education session held during meeting

COMMITTEES –

  • ART COMMITTEE
    • Meets as needed
    • Purpose: Raise awareness of art in the city.  Expose members of the community to art.
  • FACILITIES COMMITTEE
    • Meets at least twice per year
    • Purpose:
      • Short-term: Evaluate the current library space and work to make changes that will be flexible and increase usable space.
      • Long-term: Keep the library relevant for the distant future.
  • FINANCE COMMITTEE
    • Meets annually in the spring
    • Purpose: Review and discuss any changes to the draft budget to be presented to the full board
  • FUNDRAISING COMMITTEE
    • Meets as needed
    • Purpose: Discuss and plan fundraising activities
  • NOMINATING COMMITTEE
    • Meets annually in April
    • Members – D. Knutson, M. Krahn, O. Foat
    • Purpose: Discuss board officer nominations to be presented to the full board for annual voting
  • OPERATIONS COMMITTEE
    • Meets as needed
    • Members – M. Krahn, L. Baudoin, M. Mulder
    • Purpose: Review and revise library policies as needed. Work with library director to enforce library policies.
  • PLANNING COMMITTEE
    • Meets at the end of the year starting in September (varies)
    • Members – H. Schick, D. Knutson, L. Baudoin, M. Mulder
    • Purpose: Work with the Library Director to draft the annual business plan and goals
